Title Company Selects Captaris Alchemy to Solve Document Management Problems
Alchemy delivers faster customer service, office productivity gains and cost savings while meeting compliance requirements

Title Services, LLC, an independent title insurance agent for Stewart Title Guaranty Company located in New Jersey, is using
Captaris Alchemy to scan and digitally manage its customer files. As a result, the company is able to provide faster service to its customers, increase profitability and meet compliance
obligations for document retention.
Because they are required by state law to store files for at least 15 years, title companies like Esquire Title must find
an effective and reliable solution for document management. Managing paper storage on-site requires file clerks, office space, office equipment and supplies. Some companies utilize
off-site storage services—but it can take days to retrieve a file and retrieval costs alone can be prohibitive for these small
businesses.
“When we bought the business, we inherited almost 5,000 files stored in a dusty basement,” said Alfred Santoro, the co-president
of Esquire Title who currently serves as technology chairperson for the American Land Title Association. “The documents were subject to damage
by water, deterioration from age, dust—even rodents running around.” To fulfill customer requests, employees had to travel
down the stairs several times a day and search through 30-pound boxes of paper. “Delays were not great for customer service,”
Santoro said. “The situation was really a nightmare and had to be cleaned.”
Esquire Title installed a digital storage system powered by Captaris Alchemy, with the help of CPT Intelligent Technologies, a local document management systems integrator and Captaris partner. “Paper files are now under control,” Santoro said. The company manages title insurance
production with two Canon scanners and AIM for Windows, the customized title software application from Stewart Title Information Services. Alchemy is integrated with the scanners and title software, so employees can now digitally file documents. Esquire Title’s digital
“file room” meets title industry storage requirements and employees now have immediate access to customer documents without
encountering any of the previous challenges. Documents are indexed and searchable via five key fields: buyer, seller, file
or title policy number, and customer.
