All rights reserved. This document describes late-breaking changes and other information that supplements the RightFax 9.0 product documentation. Captaris strongly recommends that you review any published patches and known software defects before you perform an installation or upgrade in a live production environment. By the time you receive this software, updates may be available. The latest support information for RightFax 9.0, including product updates, patches, or hot fixes, can be found on the RightFax 9.0 support Web site at www.captaris.com/customer_support. This Web site is an essential on-line point of contact for all critical information relating to your RightFax software. If after reviewing this site you have any questions or concerns regarding your RightFax installation or upgrade, please contact your technical support representative for recommendations. This document is formatted for a minimum width of 60 characters. If you display this document in a window that is narrower than 60 characters, it will not display properly. ------------------------------------------------------------ ------------------------------------------------------------ Before you Install or Upgrade to RightFax 9.0 --------------------------------------------- RightFax version 9.0 requires that the Microsoft Data Access Components (MDAC) be updated to the most recent version (version 2.8) on all supported operating systems. Microsoft has released a critical update that installs this version. If your RightFax server has not been updated to use MDAC version 2.8, a copy is included on the RightFax 9.0 installation CD. To update the MDAC on your RightFax server, run the file MDAC_typ.exe located in the \Support folder on the root of the RightFax 9.0 installation CD. ------------------------------------------------------------ ------------------------------------------------------------ RightFax Web Access ------------------- There are some security settings for users that are not recognized in this version of Web Access. This includes permission to send SMS messages and permission to change cover sheets. All Web Access users will be able to access the features regardless of their user permission settings. If new contacts do not display in the Web Access tree view, click the Refresh button on your Web browser. The new contacts should display as expected. For a RightFax administrator to be able to view all faxes in the system (Administrative Mode/Administrator View), open the Filter menu, select Custom View, and then select the “Include all users I have delegate access to” option. ------------------------------------------------------------ ------------------------------------------------------------ RightFax SecureDocs Module -------------------------- If a password-protected PDF document is sent via certified delivery, the PDF on the certified delivery Web site will not prompt the recipient for a password when opened. Only the certified delivery login will be required to access the file. ------------------------------------------------------------ ------------------------------------------------------------ Lotus Notes Module iNotes Integration ------------------------------------- The RightFax Lotus Notes Module for version 9.0 supports fax functionality through the iNotes application. The information provided here is not documented in the Lotus Notes Guide or online help. Using iNotes ------------ About iNotes The RightFax Lotus Notes Module supports Lotus iNotes R6 template (INOTES6.NTF, which is now called Domino Web Access) in a full-mail and minimal-mail integration. This allows for fax usage via a Web browser, including the ability to send and view faxes, and set advanced fax attributes. Accessing iNotes To access iNotes, use your Internet browser to access http:///mail/.nsf For the correct Notes server name and mailbox information, contact your Notes administrator. Using iNotes with RightFax 1. To send via RightFax, click the RightFax tab on the iNotes inbox. 2. Hover your mouse pointer over the tab, and then select New RightFax Fax from the menu that opens. The iNotes addressing dialog opens. 3. On the iNotes addressing dialog, select an option to • Send a Fax • Send a Document via email • Send an SMS message 4. Or, select an option to • Add a Fax Cover Sheet • Add a Library Document • Configure Advanced Options Sending Documents via email with iNotes --------------------------------------- Sending documents with iNotes via RightFax means that you are sending to an email address, not a fax number. The document will be rendered as a multi-page TIF attachment (fax format) and sent as an attachment to the email. Options for adding a cover sheet and library docs are available for sending documents. Note: Options for sending the document securely with Certified Web Delivery, Adobe(R) Acrobat(R) PDF, or PDF with a password are not available with iNotes. To send a document 1. To send a document with iNotes via RightFax, click the RightFax tab on the iNotes inbox. 2. Hover your mouse pointer over the tab, and then select New RightFax Fax from the menu that opens. The iNotes addressing dialog opens. 3. Click Doc. The RightFax Recipients: Document dialog opens. 4. Manually enter recipient information, or pick a recipient from the list . The recipients available in the Current Contacts list vary depending on what you choose in the Active Contact Source list. 5. Click Add to move the recipient information to the Selected Recipients area, and then click OK. 6. Enter a Subject, attach Files, and write the body of the document in the space provided, as desired. 7. Configure Advanced Options, add a Cover Sheet, or add Library Docs, as desired. 8. Click Send. Sending Faxes with iNotes ------------------------- To send a document 1. To send a fax with iNotes via RightFax, click the RightFax tab on the iNotes inbox. 2. Hover your mouse pointer over the tab, and then select New RightFax Fax from the menu that opens. The iNotes addressing dialog opens. 3. Click Fax. The RightFax Recipients: Fax dialog opens. 4. Manually enter recipient information, or pick a recipient from the list. The recipients available in the Current Contacts list vary depending on what you choose in the Active Contact Source list. 5. Click Add to move the recipient information to the Selected Recipients area, and then click OK. 6. Enter a Subject, attach Files, and write the body of the document in the space provided, as desired. 7. Configure Advanced Options, add a Cover Sheet, or add Library Docs, as desired. 8. Click Send. Sending SMS Messages with iNotes -------------------------------- Short Message Service (SMS) is a text message services that lets you send short text messages to a mobile device, like a cell phone. To find out whether you have SMS permissions and how many characters can be included in your SMS messages, contact your Notes administrator. To create an SMS message 1. To send an SMS message via RightFax, click the RightFax tab on the iNotes inbox. 2. Hover your mouse pointer over the tab, and then select New RightFax Fax from the menu that opens. The iNotes addressing dialog opens. 3. Click SMS. The RightFax Recipients: SMS dialog opens. 4. Manually enter recipient information, or pick a recipient from the list. The recipients available in the Current Contacts list vary depending on what you choose in the Active Contact Source list. 5. Click Add to move the recipient information to the Selected Recipients area, and then click OK. 6. Enter a Subject, and then click Send. Note: you cannot attach Files or include any text other than what you enter in the Subject field. Even if you do, the recipient will receive only the text that you entered in Subject. The Advanced Options, Cover Sheet, and Library Docs options are also not available for SMS messages. Adding Cover Sheets with iNotes ------------------------------- Note: You can add cover sheets to faxes and documents only, not SMS messages. When you make changes on the RightFax Fax Cover Sheet dialog, those changes apply only to the single fax you are currently sending. Changes are not global: they do not apply to any future faxes. 1. To add a cover sheet, click the RightFax tab on the iNotes inbox. 2. Hover your mouse pointer over the tab, and then select New RightFax Fax from the menu that opens. The iNotes addressing dialog opens. 3. Click Cover Sheet. The RightFax Fax Cover Sheet dialog opens. 4. In the Cover Sheet area, select a cover sheet and resolution from the lists. 5. In the From Info area, enter information that you want to appear on the cover that displays who the fax came from. 6. In the Text area, enter information that you want to appear as a note on the cover sheet. 7. Click OK. Adding Library Docs with iNotes ------------------------------- Note: You can add library documents to faxes and documents only, not SMS messages. When you make changes on the RightFax Fax Library Docs dialog, those changes apply only to the single fax you are currently sending. Changes are not global: they do not apply to any future faxes. 1. To add a library document, click the RightFax tab on the iNotes inbox. 2. Hover your mouse pointer over the tab, and then select New RightFax Fax from the menu that opens. The iNotes addressing dialog opens. 3. Click Library. The RightFax Fax Library Docs dialog opens. 4. Select a library doc from the Available Library Docs list, and then click Add to move it to the Selected Library Docs list. 5. Click OK. Configuring Advanced Options with iNotes ---------------------------------------- Note: Advanced options are available for faxes and documents only, not SMS messages. When you make changes on the RightFax Fax Options dialog, those changes apply only to the single fax you are currently sending. Changes are not global: they do not apply to any future faxes. 1. To configure the advanced options for a fax or document, click the RightFax tab on the iNotes inbox. 2. Hover your mouse pointer over the tab, and then select New RightFax Fax from the menu that opens. The iNotes addressing dialog opens. 3. Click Advanced Options. The RightFax Fax Options dialog opens. 4. Choose the options you prefer. 5. Click OK. The options • Use SmartResume? If the fax server encounters errors during transmission, this option instructs it to re-send only the unsent portion of the fax rather than the entire fax. This saves transmission time and phone charges when an error occurs. • Auto-delete After Send? To reduce disk usage on the fax server, you can have RightFax delete fax images once they are sent. The Never option disables this feature. Use On Success to only delete faxes that have been successfully sent. The Always option deletes all faxes from the fax server, whether or not they were successfully sent out of the gateway. • Fax Priority Set this option to High to force your fax to the top of the queue. This option requires permissions set by your RightFax administrator. Without permission, you may only send low and normal priority faxes. If the option is unavailable to you and you feel you are entitled to configure this setting, contact your RightFax administrator. Note: The priority is linked to the Notes message delivery priority. Thus, selecting Low priority here means that a fax will remain in the Mail.Box on the Domino server until the time specified for processing low-priority email, which is frequently after regular business hours. • Hold for Preview Select Yes to preview your fax before it is sent. The fax will be sent to your mailbox so that you can view and release it. • Sender notification RightFax can send you an e-mail to notify you of the status of your sent fax. The Never option disables this feature. Use On Failure when you want RightFax to notify you if your fax was attempted but failed. (The notification will specify the reason for the failure.) The Always option will always notify you, regardless of the status of the sent fax. • Recipient notification RightFax can send your recipient an SMS message to notify him or her of the status of your sent fax. The Never option disables this feature. Use On Failure when you want RightFax to notify the recipient if your fax was attempted but failed. (The notification will specify the reason for the failure.) The Always option will always notify the recipient, regardless of the status of the sent fax. For this feature to work, you must enter the number of a mobile phone in the Recipient SMS field. • Recipient SMS This field is required if you select On Failure or Always in the Recipient notification list. Enter the number of your recipient's mobile phone here. RightFax will send an SMS message to this number stating that the recipient has a fax (if you selected Always in Recipient notification) or that the fax failed (if you selected On Failure in Recipient notification). • Deliver Only To CSID You can enter the CSID (caller service identification) of the recipient. The CSID returned to RightFax by the recipient's fax hardware must match the CSID that you enter. Otherwise, RightFax abandons the fax. • Retry Count You can specify the number of times you would like to retry sending the fax. (You cannot specify a number less than zero.) • Retry Interval If you have specified a retry count, RightFax will attempt a retry as often as you specify here. The entry is in minutes, cannot be less than zero, and will have no effect if the retry count is zero. A new interval begins as soon as the attempt to resend completes and the fax server returns a failure. ------------------------------------------------------------ ------------------------------------------------------------ Corrections and Additions to the RightFax 9.0 Documentation ----------------------------------------------------------- RightFax 9.0 Administrator's Guide ---------------------------------- ----------------------------------------------------------- Chapter: 23, "Creating Phonebooks and Broadcasting Faxes" Page: 239 Error: The examples provided for phonebook import files are incorrect. The format in which data fields are bounded by double-quotes is the only supported format. In addition, the instructions for importing an empty data field should state that empty data fields must be indicated in the import file using a single blank space bounded by double quotes. Resolution: Disregard the sample phonebook import file that does not include double-quotes. The following is a revised sample phonebook import file which includes some blank entries. “ID”,”Name”,”Fax1”,”Company”,”CityState” “Bob”,”Bob Jones”,”444-3333”,”Acme ”,”Ajo AZ” “Jane”,”Jane Doe”,”555-1212”,” ”,” ” Chapter: 23, "Creating Phonebooks and Broadcasting Faxes" Page: 242 Error: The first paragraph under "LDAP Phonebooks" states that LDAP phonebooks are only accessible from Windows NT workstations. Windows NT is not supported in RightFax 9.0. Resolution: This paragraph should state that LDAP phonebooks are only accessible from Windows 2000 and Windows XP workstations. ------------------------------------------------------------ RightFax 9.0 SecureDocs Module Guide ------------------------------------ ----------------------------------------------------------- Chapter: 2, "Installing the SecureDocs Module" Page: 9 Error: Step 5 in the installation instructions for the Certified Delivery Web site is incorrect. Resolution: Step 5 should read: 5. On the RightFax server, open the RightFax Server configuration program from Windows Control Panel. Click the eTransport tab and in the SMTP Hostname box enter the fully qualified domain name of the SMTP mail server used for sending messages. Chapter: 2, "Installing the SecureDocs Module" Page: 13 Error: The screen image of the eTransport dialog box includes an option called "Web Site" that does not appear in the software. This option is also mentioned in step 6. Resolution: The "Web Site" option on the screen image and in Step 6 should be disregarded. ------------------------------------------------------------ RightFax 9.0 Installation Guide ------------------------------- ----------------------------------------------------------- Chapter: 4, "Installing the RightFax Client Applications" Page: 45-46 Error: Table 4b, RightFax Client Installation Properties includes four invalid properties.
